Lot & Serial Tracking Enhancements
What it does
This NetSuite customization extends native lot and serial number tracking with additional attributes, validation rules, expiry management, and traceability reporting. Organizations in food, beverage, pharmaceuticals, medical devices, and manufacturing gain the granular visibility and compliance documentation that standard NetSuite tracking alone doesn't provide — without leaving the platform.
Warehouse, quality, and compliance teams can capture richer lot data at receiving, enforce FEFO (First Expired, First Out) picking logic, generate full forward and backward traceability reports, and execute targeted recalls in minutes rather than days — all from within NetSuite's existing fulfillment and inventory workflows.
Common use cases
Enhanced lot and serial tracking serves regulated industries and any business that needs to trace inventory movements from supplier to customer with precision.
Expiry Date Management
Capture expiry or best-before dates at receiving for food, beverage, or pharmaceutical products. Automatically enforce FEFO picking so the oldest stock ships first — and alert the team when lots are approaching their expiry window.
Targeted Recall Execution
When a product quality issue is identified, instantly generate a report of all customers who received the affected lot numbers — along with shipment details, quantities, and contact information — so recall notices can be issued within hours, not days.
Quality Hold & Release
Place specific lots on quality hold during inspection — preventing fulfillment of held inventory without removing it from stock. Release the hold when inspection passes, with the status change and approver logged on the lot record.
Manufacturing Traceability
Track which raw material lots were consumed in each production run and which finished goods lots they produced — providing a complete forward and backward traceability chain for regulatory audits and quality investigations.
Supplier Batch Attribution
Capture the supplier's batch or certificate of analysis number at receiving alongside the internal lot number — enabling traceability back to the specific supplier batch when investigating quality failures in the field.
Regulatory Compliance Documentation
Generate audit-ready traceability reports — lot genealogy, chain of custody, and disposition history — in formats that satisfy FDA, FSMA, UDI, or ISO requirements without manual data assembly from multiple systems.
How it's built
Extended custom fields on NetSuite lot records, SuiteScript validation at receiving and fulfillment, and traceability saved searches combine to deliver compliance-grade lot visibility without external systems.
Extended Receiving Capture
Custom fields on the Inventory Number record capture extended lot attributes at receiving — expiry date, supplier batch, manufacture date, country of origin, and initial quality status — with mandatory validation enforced by a Client Script.
Expiry & FEFO Enforcement
A Scheduled Script flags lots approaching expiry and alerts the inventory team. At fulfillment, a User Event Script enforces FEFO picking logic — selecting the earliest-expiring lot first and blocking fulfillment of expired or held lots.
Traceability Chain
NetSuite's native lot transaction history is extended with custom linkage records that connect raw material lots to production work orders to finished goods lots — enabling a complete forward and backward trace across the manufacturing chain.
Recall & Audit Reports
Saved searches and a custom Suitelet generate recall impact reports — customers who received a specific lot, quantities shipped, and shipment dates — and lot genealogy reports for regulatory audit submissions, on demand.
Before → After
Before
- Lot tracking captures only the minimum required — lot number and quantity — without expiry dates, supplier batch, or quality status.
- FEFO picking is enforced manually by warehouse staff, leading to inconsistent compliance and occasional shipment of near-expired product.
- A recall requires days of manual research across spreadsheets and shipping records to identify which customers received affected lots.
- Quality holds are communicated informally — email or sticky note — with no system-enforced block on fulfillment of held inventory.
- Regulatory audits require time-consuming manual report assembly because traceability data is scattered across multiple systems and records.
After
- Every lot carries full attribute data — expiry, supplier batch, manufacture date, quality status — captured at receiving with mandatory validation.
- FEFO picking is system-enforced — the warehouse always ships the earliest-expiring lot and is blocked from fulfilling expired or held inventory.
- A recall impact report identifying all affected customers, quantities, and shipment details is generated in minutes — not days.
- Quality holds are set on the lot record in NetSuite, system-enforced at fulfillment, and released with an approver audit stamp when inspection passes.
- Regulatory audits are supported by on-demand lot genealogy and traceability reports that satisfy FDA, FSMA, or ISO requirements without manual data assembly.
